Our products are sold to a network of authorised trade distributors who negotiate the sale, installation, service and support of the products we supply and manufacture.

Any personal data received to SUNFLEX UK requesting further information about our products, specifically regarding the purchase or negotiation to purchase of our systems, will be shared with one of our authorised trade distributors for this purpose.

We do this to find out things such as the number of visitors to the various parts of the site. This information is only processed in a way which does not identify anyone. 3. Providing your personal data to others

3.1 We may disclose your personal data to any member of our group of companies (this means our holding company and its subsidiaries) insofar as reasonably necessary for the purposes, and on the legal bases, set out in this policy. This will only ever be done in the purposes of fulfilling an order for products that you have purchased from us.

3.2 If you have made an enquiry for products that we supply we will share your data with one of our authorised trade distributors for the purposes of allowing them to prepare a quotation and to negotiate the sale of goods to you. The legal basis for this sharing is our legitimate interests, namely the performance of a contract between you and us and/or taking steps, at your request, to enter into such a contract.

SUNFLEX UK has an information sharing agreement in place with each of the authorised trade distributors with which we share your data with. This agreement outlines our expectations with regards to data security and privacy protection, this ensures that your data is protected to the same exacting standards to which we hold it. The trade distributor we share your information with will depend on a number of factors including (but not limited to) your location, the products you are interested in and the materials from which the product is made. 3.3 We may disclose your personal data to our insurers and/or professional advisers insofar as reasonably necessary for the purposes of obtaining or maintaining insurance coverage, managing risks, obtaining professional advice, or the establishment, exercise or defence of legal claims, whether in court proceedings or in an administrative or out-of-court procedure.

3.4 In addition to the specific disclosures of personal data set out in this Section 3, we may disclose your personal data where such disclosure is necessary for compliance with a legal obligation to which we are subject, or in order to protect your vital interests or the vital interests of another natural person. We may also disclose your personal data where such disclosure is necessary for the establishment, exercise or defence of legal claims, whether in court proceedings or in an administrative or out-of-court procedure.

4. Retaining and deleting personal data

4.1 This Section 4 sets out our data retention policies and procedure, which are designed to help ensure that we comply with our legal obligations in relation to the retention and deletion of personal data.

4.2 Personal data that we process for any purpose or purposes shall not be kept for longer than is necessary for that purpose or those purposes.

4.3 We will retain your personal data as follows:

(a) Your enquiry data (name, email address, telephone number, address and information regarding any enquiry that you have made with us for our products) will be retained for a minimum period of one year from point of initial enquiry, and for a maximum period of five years following initial enquiry.

(b) Your order data (name, email address, telephone number, address and information regarding the purchases of products you have made from us including sizes, colours, and configurations) will be retained for a minimum period of one year from point of initial enquiry, and for a maximum period of ten years following initial enquiry. This information is kept for the purposes of providing an after-sales service and ongoing support to these products.

(c) Your marketing data (name, email address, telephone number, address and products that you are interested in) will be retained for a minimum period of one year from point of initial opt-in, and for a maximum period of three years following initial opt-in.

(d) Your correspondence data (information regarding any enquiry that you have made with us for our products) will be retained for a minimum period of one year from point of initial opt-in, and for a maximum period of three years following initial opt-in.

4.4 Notwithstanding the other provisions of this Section 4, we may retain your personal data where such retention is necessary for compliance with a legal obligation to which we are subject, or in order to protect your vital interests or the vital interests of another natural person.

5. Security of personal data

5.1 We will take appropriate technical and organisational precautions to secure your personal data and to prevent the loss, misuse or alteration of your personal data.

5.2 We will store all your personal data on secure servers, personal computers and mobile devices, and in secure manual record-keeping systems.

5.3 We will never store card payment details.

5.4 Data relating to your enquiries that is sent from your web browser to our web server, or from our web server to your web browser, will be protected using encryption technology.

5.5 You acknowledge that the transmission of unencrypted (or inadequately encrypted) data over the internet is inherently insecure, and we cannot guarantee the security of data sent over the internet.
